Getting started
Do I need to install anything?
UpfitTrack is an iPhone and iPad app. During the beta you install it through Apple's TestFlight, using the invite link we send you. Once UpfitTrack is on the App Store, it installs like any other app.
Does every person in my shop need their own login?
Yes. Every login is a real email address with its own password, so records show who did the work.
Can I try it before paying?
Yes. Your first upfit project is free. Billing only enters the picture when you start your second project.
Accounts and passwords
I forgot my password.
Use "Forgot password" on the login screen. A reset email goes to the address you signed up with.
It says "Incorrect email or password" and I'm sure my password is right.
That message deliberately covers both halves, so a stranger can't use it to find out which emails have accounts. Check the email for a typo first, then use "Forgot password."
If the account itself was turned off, you get a different message that says so.
Someone left the company. How do I shut off their access?
An admin removes them from the user list in Admin Settings. Removal disables their login immediately. Their name stays on the historical records they touched.
Can I limit what my techs can see?
Yes. Admins can restrict screens and sensitive buttons by role: shop floor for techs, billing and deletion admin-only.
Projects and build sheets
Does the agency see my costs or where I sourced parts?
No. Internal details never leave your side. The agency sees a clean "Supplied by [your shop]" or "Supplied by [their agency]" label, nothing else.
Can I edit a check-in report after sending it?
No, and that's deliberate. What you send is frozen at send time. It's your evidence of the vehicle's condition when it entered your possession.
Two vehicles ended up with the same unit number. Now what?
The approval stops and says so. Nothing is silently overwritten. The agency renumbers the old vehicle, or cancels the approval and sorts it out.
Photos
I took photos with no signal. Are they lost?
No. Photos wait in an outbox on the device and upload themselves when signal returns. They appear on the record right away with a small "waiting to upload" badge.
Don't delete the app while photos are still waiting, and they'll arrive on their own.
A photo shows a broken-picture icon or says "Photo unavailable."
"Waiting for connection…" means the device is offline and hasn't downloaded that picture yet. It loads itself when signal comes back.
"Photo unavailable" with signal means the file itself is missing. Email us which record it was on and roughly when the photo was taken.
Working offline
Our shop floor has terrible reception. Will the app work?
Yes. The app is built for shop floors. Edits save on the device immediately and sync automatically when connectivity returns. You can check in vehicles, log work, and take photos with zero bars.
How do I know my work synced?
Back online, pending changes upload on their own within moments. For certainty at the end of a shift, open the app anywhere with signal and give it a few seconds.
A few things need a connection: sending a build sheet, creating logins, and billing. The app tells you when one of those needs signal.
The agency connection In development
This is how the shop-to-agency link is designed to work. It hasn't shipped yet, so the details below may change before it does.
How does an agency get connected to our shop?
Email us and we set the connection up with you. Once paired, your build sheets flow to their review inbox, and their service requests can flow back to you.
Can the agency see our internal shop data?
No. They see what you send them and their own fleet records. Your projects, hours, pricing, and internal notes stay yours.
A vehicle was totaled or retired. Does it disappear?
No. Decommissioned vehicles move to a Retired Vehicles list at the bottom of the fleet. It's read-only, with the full history intact.
QR stickers and pre-shift checks
Do officers need accounts?
Each agency gets one officer login for pre-shift checks. The password is shown exactly once at creation, so save it somewhere safe.
If it leaks, the agency admin rotates it under Officer Account in the Agency Hub settings. Rotating instantly signs out everyone using the old one.
A sticker got damaged, or a car has two stickers.
Both are fine. Print a fresh sticker and link it to the same vehicle from the vehicle's QR menu. Old and new both work, and two stickers on one car open the same record.
The officer's phone had no signal at scan time.
The page reports no connection. Pre-shift checks need signal because they're recorded to the fleet the moment they're submitted.
Billing and plans
What does it cost?

How do I manage or cancel my subscription?
Billing is handled by Stripe. From the app's billing screen you can open your billing portal to update cards, view invoices, or make changes. We never see or store your card number.
When something looks wrong
I deleted something by mistake.
Deleted projects, work orders, and fleet vehicles go to Recently Deleted and can be restored for 30 days, with everything under them coming back together. After 30 days they're permanently removed.
A number on a dashboard looks off, or a tile shows zero.
If the device has been offline, some counters show stale or empty values until the next sync. The underlying records are safe. Get signal, give it a moment, and reopen the screen.
The app and my coworker's app show different things.
Almost always a sync-timing gap. Both online plus a few seconds resolves it. If a real difference persists, email us which screen and we'll chase it.
Something else is broken or confusing.
Email [email protected]. Include the screen you were on, what you tapped, what you expected to happen, and a screenshot if you have one. That's usually everything we need to find it.
